Booking & Event Policies
1. Reservation Deposit & Payments: To secure your event date, a non-refundable deposit of $150 is required at the time of booking. The remaining balance will automatically be charged to the card on file 48 hours prior to your scheduled event.
2. Cancellation & Refunds:
Cancellations made more than 14 days prior to the event will forfeit the $150 deposit but incur no further charges.
Cancellations made within 14 days of the event are non-refundable, but the total balance paid can be applied as a credit toward a rescheduled event within 365 days.
No-shows or cancellations made within 48 hours of the event forfeit all payments and are not eligible for a credit or reschedule.
3. Colorado Weather Policy: The Colorado Sandbox trailer is fully insulated and climate-controlled (heated and cooled), allowing us to operate year-round in safety and comfort. Forecasts of rain, snow, heat, or cold are not grounds for cancellation or refunds. In the rare event of extreme, hazardous weather conditions (e.g., active blizzards, ice storms, sustained winds over 45 mph, or officially declared weather emergencies) where driving conditions are unsafe, The Colorado Sandbox reserves the right to reschedule your event. No refunds will be issued for weather reschedules.
4. Parking & Site Access Requirements: The Client must provide a relatively flat, clear, and safe parking space of at least 40 linear feet (approx. 2.5 standard parking spaces) with a minimum vertical clearance of 10 feet. Suitable locations include private driveways or legal curbside parking. The Colorado Sandbox drivers reserve the absolute right to refuse to park or operate in any location deemed unsafe, steep, or a hazard to our equipment or public property. Delays in starting the party due to clearing a parking space will not extend the scheduled end time of the event.
5. Equipment Damage & Behavior: The Client assumes full financial liability for any theft, vandalism, or intentional/reckless damage caused to The Colorado Sandbox trailer, internal systems, toys, or construction equipment by event participants. An adult over the age of 18 must remain present on the property at all times. The Colorado Sandbox staff reserves the right to pause or terminate the event immediately without refund if participant behavior becomes dangerous, abusive, or hostile.
6. Assumption of On-Site Supervision & Minor Liability: The Client acknowledges that The Colorado Sandbox provides an unstaffed, unmonitored equipment rental. Upon delivery, set up, and departure of The Colorado Sandbox personnel, the Client assumes full, absolute, and exclusive responsibility for the active supervision and safety of all participants. The Client certifies that they will not permit any minor child to enter the trailer without the prior express consent and execution of a Participant Liability Waiver by that minor’s legal parent or guardian.
7. Third-Party Indemnification and Hold Harmless: The Client agrees to defend, indemnify, and hold completely harmless The Colorado Sandbox, LLC, its owners, and employees from and against any and all claims, demands, lawsuits, losses, liabilities, injuries, or legal expenses (including reasonable attorney fees) brought by third parties—including but not limited to event guests, neighborhood children, and invitees—arising out of or resulting from the use, operation, or presence of the trailer during the Client's rental period. This obligation applies regardless of whether the injured party executed a separate participant waiver.
