Booking & Event Policies
1. Reservation Deposit & Payments: To secure your event date, the full amount due is required at the time of booking. For the purposes of Section 2 below, $150 of the total amount due will be considered the Security Deposit.
In order to ensure The Colorado Sandbox maintains appropriate availability to meet local demand, the deposit portion of your payment may or may not be refunded due to cancellation, based on the policies outlined below.
2. Cancellation & Refunds: Money paid to secure your event is subject to the terms below, unless otherwise agreed to in writing by you and The Colorado Sandbox.
Cancellations made more than 7 days prior to the event will be refunded all monies paid toward the event.
Cancellations made within 2-7 days of the event will forfeit the $150 deposit but the remaining balance paid toward the event will be refunded. If you reschedule an event within 180 days, your forfeited deposit will be used as a credit towards the future booking.
No-shows or cancellations made within 48 hours of the event forfeit all payments, but the total balance paid (less the deposit) can be applied as a credit toward a rescheduled event within 180 days.
3. Colorado Weather Policy: Forecasts of rain, snow, heat, or cold are generally not grounds for last-minute cancellation or refunds. In the event of extreme temperatures or hazardous weather conditions where driving conditions are unsafe, The Colorado Sandbox reserves the right to reschedule your event. Any event cancelled or rescheduled by The Colorado Sandbox will be eligible for a full refund of all monies paid.
4. Parking & Site Access Requirements: You must provide a relatively flat, clear, and safe parking space of at least 25 linear feet with a minimum vertical clearance of 10 feet. Suitable locations include private driveways, legal curbside parking, open parking lots, or flat dirt or grass fields. The Colorado Sandbox drivers reserve the absolute right to refuse to park or operate in any location deemed unsafe, steep, or a hazard. Delays in starting the party due to clearing a parking space will not extend the scheduled end time of the event.
5. Equipment Damage & Behavior: You assume full financial liability for any theft, vandalism, or intentional/reckless damage caused to The Colorado Sandbox trailer, internal systems, toys, or construction equipment by event participants. An adult over the age of 18 must remain present on the property at all times.
6. Assumption of On-Site Supervision & Minor Liability: You acknowledge that The Colorado Sandbox provides an unstaffed, unmonitored equipment rental. Upon delivery, set up, and departure of The Colorado Sandbox personnel, you assume full, absolute, and exclusive responsibility for the active supervision and safety of all participants. You certify that you will not permit any minor child to enter the trailer without the prior express consent and execution of a Participant Liability Waiver by that minor’s legal parent or guardian.
7. Third-Party Indemnification and Hold Harmless: You agree to defend, indemnify, and hold completely harmless The Colorado Sandbox, LLC, its owners, and employees from and against any and all claims, demands, lawsuits, losses, liabilities, injuries, or legal expenses (including reasonable attorney fees) brought by third parties—including but not limited to event guests, neighborhood children, and invitees—arising out of or resulting from the use, operation, or presence of the trailer during your rental period. This obligation applies regardless of whether the injured party executed a separate participant waiver.
